General Terms and Conditions

 

Booking and Reservations

 
  • Back40Battles LLC occasionally uses a 3rd party online "Booking" company, thus a small booking fee may apply during the check out process.
  • No booking / reservation can be made without a qualified deposit or payment "in-full".
  • Back40Battles LLC requires that all booking requests make a minimum 50% "Acceptance Deposit" of the total purchase amount.
  • "Acceptance Deposit" is non-refundable and will be used towards the final payment of your scheduled event invoice balance.
  • Once an "Acceptance Deposit" or payment in full has been made, we accept that you agree to the “General Terms and Conditions”.
  • Bookings / Reservations are based on 'First come, First Served'.
  • We accept VISA, MasterCard, Discover, American Express including cash or personal check. All checks that are returned NSF (non-sufficient funds) will incur a $50 "Return Check" fee and be added to the remaining unpaid balance.
  • Additional Charges may apply for venue locations outside of our radius of service.
  • Final payment must be made in full on or before the start of the booked event.

 

Please take note of the following:

 

  • Our Field Marshalls are entitled to work in a safe environment. If this should become a problem they have the right to stop or terminate any player/person in the event they are disruptive or abusive in any way whatsoever.  No refunds will be given.
  • Back40Battles reserve the right to terminate the venue at any time due to safety, health, weather or any other issues that might impede the manner in which Back40Battles is able to perform its services in a safe and professional manner.
  • Mobile LaserTag games are WEATHER DEPENDENT if your game is held outdoors.
  • Back40Battles reserves the right to cancel, alter, or delay any booking where forced to do so by circumstances beyond our control, such as serious illness, terrorism, severe weather or any other circumstances which would subject Back40Battles or any of its employees or participants to an unsafe environment.
  • In the event of any damages or loss caused by participants to property or equipment in use (except for normal wear & tear) the client will be charged the full replacement cost.
  • No liability is accepted for loss or damage to property belongings to any participants including clothing, cameras, watches, phones, etc.
  • No liability is accepted for personal injury or death of any participants however caused unless by proven negligence of Back40Battles LLC.
  • Participants that are pregnant, injured and/or have any type of ailments that can be compromised while participating in game play should not undertake the activities.
  • All users must be able to understand spoken English for the safety briefings.

 

Standard cancellation and refund policy:

 
  • Your booking will initiate a provisional reservation process.
  • The cancellation fee will come into effect once you have made your 50% deposit "Acceptance Deposit". This deposit will validate and secure your date/time slot.  We will provide confirmation of your booking via email or telephone within 48 hours.
  • All cancellation requests must be in writing and sent via email.  Upon receipt of this email we will follow up via phone to verify customer contact information and corresponding invoice number.  Note: See the Cancellation Table listed below.
  • All laser tag parties or events are arranged ahead of time. Any group failing to appear on the day of the party will be charged the remaining balance of their booked event.
  • Mobile Combat LaserTag parties/events that are cancelled due to incremental weather expected on the date of the party/event will, at the discretion of Back40Battles LLC, be fully refunded or re-booked depending on availability.
  • If we have set up on the day of the party and we get rained out no more than 30 minutes prior to the scheduled end of the party then we will refund pro-rota. (The refund will exclude travel fees, if any, that apply when running your Mobile Combat LaserTag parties or event).
  • Please note that we do understand that cancellations may be due to unforeseen circumstances. We will take this into consideration on a case by case basis.

 Time extension (During Your Event):

  • Due to the nature of our business, we often are unable to “extend” or grant additional time without prior arrangement, however we will make every effort to accommodate your requests. To avoid any disappointment please ensure that your booking is made well in advance.
